Confidentiality Policy


My First Friends nursery work with children and families and through this interaction we will sometimes come into contact with confidential information.

To ensure that all those using and working in the nursery can do so with confidence, we will respect confidentiality in the following ways:

·         Parents will have ready access to the files and records of their own children but will not have access to information about any other child.

·         Staff will not discuss individual children, other than for purposes of their care, curriculum planning, and health and welfare management with people other than parents/ carers of that child. There may be a need to discuss issues with our special educational needs coordinator, visiting health visitor or local school to be attended. This would however be discussed with parent/carer before disclosing any confidential information.

·         Sensitive information given by parents/carers to the coordinator or key person will not be passed on to other adults without permission unless this information affects the care of the child whilst in our setting, for example a parental split which has resulted in one parent having no access to the child all staff should be made aware for safety purposes. In this instance however limited information such as a photograph and explanation that they not allowed into the setting under any circumstances is sufficient.

·          Issues to do with the employment of staff, whether paid or unpaid, will remain confidential to the people directly involved with making personnel decisions.

·         Any reported concerns/evidence relating to a child’s personal safety will be kept in a confidential file and will not be shared within the group except with the child’s key worker/play-leader, Nursery Manager and the owner or persons relevant to the situation on a need to know basis only.

·         All procedures and record keeping will comply with current data protection legislation.

·         Duty of care to the child may override the duty of confidentiality, and in such cases we will pass appropriate information to other organizations.

·         Any work related matters that may involve confidential information about children, their families or work colleagues should not be discussed on any social network sites under any circumstances. Employees of My First Friends must ensure that any social networking sites are private and there is no reference to their employment at My First Friends.

·         As clearly stated in our code of conduct policy, practitioners should not be friends with any parents of the setting or children under the age of 13 years of age on social networking sites of any kind. No work related information should be disclosed over social networking sites and practitioners should be reminded that even when they are out of work, should it be brought to the attention of the company that they have acted inappropriately, and it has impacted on the setting negatively, the matter will be investigated.

·         No pictures of the children within our care should be posted on any social networking sites. If there are friendships outside of the nursery environment with parents/carers you are reminded to maintain professional relationships regarding matters of work and the care of their children at all times.
